Health and Safety policy

Health and Safety Policy for Man and Van Bow

Man and Van Bow is committed to providing a safe and healthy environment for employees, customers, contractors, visitors, and members of the public who may be affected by our removal and transport activities. Our aim is to prevent injury, ill health, damage to property, and unnecessary disruption during every move we undertake.

This policy sets out our approach to managing health and safety in connection with our man and van and removal services, including loading, unloading, packing, transporting, and delivering goods.

Policy Aims and Objectives

We aim to manage health and safety in a proactive and systematic manner. Our objectives are to:

Identify, assess, and control risks arising from our removal operations.
Comply with all applicable health and safety legislation and recognised industry standards.
Provide safe systems of work for lifting, carrying, loading, unloading, and transporting items.
Ensure vehicles and equipment used for removals are maintained in a safe condition.
Provide information, instruction, training, and supervision to promote safe working practices.
Consult with workers on matters affecting their health and safety.
Review and improve our health and safety performance on an ongoing basis.

Management Responsibilities

Senior management has overall responsibility for implementing this Health and Safety Policy and for ensuring that adequate resources are provided to support it. Management will:

Lead by example and promote a positive safety culture throughout the company.
Ensure that risk assessments and safe working procedures are in place for all key tasks, including handling heavy or awkward items, working in confined areas, and roadside operations.
Provide appropriate training and refresher training for all staff involved in removal services.
Ensure that all employees understand their responsibilities and are competent to carry out their duties safely.
Monitor health and safety performance and investigate accidents, incidents, and near misses to prevent recurrence.

Employee Duties

All employees, whether full-time, part-time, or temporary, share responsibility for maintaining a safe working environment. Employees must:

Take reasonable care for their own health and safety and that of others who may be affected by their actions or omissions.
Follow all safety instructions, training, and company procedures when carrying out removal tasks.
Use vehicles, equipment, and personal protective equipment correctly and report any defects immediately.
Cooperate with management to enable the company to fulfil its legal and policy obligations.
Report accidents, incidents, near misses, and identified hazards to management without delay.
Never engage in horseplay, substance misuse, or any behaviour that could compromise safety.

Risk Assessment and Safe Working Practices

We carry out risk assessments for our typical removal activities and for specific moves where necessary. These risk assessments cover, as a minimum:

Manual handling of heavy, large, or fragile items.
Working in customers homes, offices, and communal areas such as stairwells and corridors.
Vehicle movements, parking, and loading or unloading in busy or restricted streets.
Use of handling equipment such as sack trucks, dollies, moving straps, and ramps.
Weather and environmental conditions that may affect safe working.

From these assessments, we implement safe systems of work that may include team lifting, route planning, use of protective packaging, securing loads within vehicles, and the use of appropriate lifting and carrying techniques.

Manual Handling and Lifting

Manual handling is a core part of our removal service and is carefully controlled. We:

Provide training in correct lifting and carrying techniques, including posture, shared loads, and communication between team members.
Plan lifts in advance, considering the weight, shape, and route to be taken.
Use mechanical aids or additional staff where a load cannot be safely handled by one person.
Avoid unnecessary manual lifting by using trolleys, sliders, and other aids whenever possible.
Encourage staff to refuse any lift they consider unsafe and to seek assistance.

Vehicles, Equipment, and Maintenance

Our vehicles and equipment form a key part of our removal operations and must be safe and fit for purpose. We:

Carry out regular checks of vehicles, including tyres, brakes, lights, securing points, and access steps.
Ensure that tail lifts, ramps, and other access equipment are inspected and used only by trained personnel.
Maintain handling equipment in good working order and remove from service any equipment that is defective or unsafe.
Ensure that loads are evenly distributed, properly secured, and do not exceed vehicle capacity.

Customer Premises and Public Safety

We recognise our responsibility to protect customers, neighbours, visitors, and members of the public during moves. To minimise risk we:

Plan access routes through properties to reduce obstruction and trip hazards.
Keep walkways as clear as reasonably practicable and use warning signs or verbal notices where appropriate.
Take care when moving items through shared entrances, pavements, and driveways.
Take steps to minimise noise, disturbance, and damage to property while working safely.

Training, Information, and Supervision

We provide all employees with appropriate induction and on-the-job training relevant to their roles. This may include:

Health and safety awareness.
Manual handling and lifting techniques.
Safe vehicle loading and unloading.
Working safely in and around roadways.
Use of personal protective equipment.

Supervisors and team leaders are responsible for monitoring work on site, ensuring procedures are followed, and offering guidance to less experienced staff.

Incident Reporting and Emergency Procedures

All accidents, injuries, near misses, and significant incidents must be reported to management as soon as possible. We record and, where necessary, investigate such events to identify causes and corrective actions.

Employees are briefed on emergency arrangements, including actions to take in the event of fire, serious injury, road traffic incidents, or major property damage while carrying out removal work.

Policy Review

This Health and Safety Policy is reviewed regularly and updated when changes occur in legislation, industry guidance, or the nature of our removal operations. We will also review the policy following any significant incident or where improvements are identified.

By working together and following this policy, Man and Van Bow aims to ensure that every move is carried out as safely and efficiently as possible, protecting our staff, customers, and the wider community.
